Steps on How to Proof Read Formal Letters | Cover Letters and all others

Introduction

When writing a formal letter, you should avoid error. For example, you are in-search of a job and in your cover letter, it was full of errors and things that should not be there.   • Spell check : Spell checker is a very important tool to be in your box when you are about to proof read. Do you know you still need to go through the letter once you have detected the typo error in the letter because in some situations, spell check makes some mistake as it might want to spell “I’ve” and it spelt “Ave” for you. Since the both words are English words, spell check will never underline it for you as far as, it doesn't know the actual word you want to use , as far as, it is an English word, it will never be underlined as a error. Permit me to say this, you don’t need to put all your typo error on spell checker as it doesn’t know the word you mean.  
  • Have Break After writing : It is not exactly when you finished writing the letter, you proof read it. If you do not take break,there is a big probability that you will have some error in the letter. Trust me, it is not your fault but your eye is stressed as it wont be able to see very well.   • Spelling Mistakes : It is very important to use words you are familiar with to avoid spelling mistakes. Your spelling mistake may end up to misinformation which may affect the letter. You don’t know maybe the error is from the heart of keyword of the letter. It is very important to check spellings as I have said in point one.

(i) Use of simple words : There are some words that you didn’t know how to spell yourself but you used it in your letter so that they can feel you a English boss. For example, you want to apply for a job and you begin to write big and uncommon English words. Your application will rotten in the bin to be sincere with you. For every letter, use English words everyone is familiar of not complex words.

(ii) Abbreviations : Do not use abbreviation that is not in search engines or dictionary. Please avoid abbreviation in formal letter please. Use of abbreviations shows how much you are lazy especially if it is job application letter. They will be like, we cant employ someone that cannot even type a full word. If you want to use abbreviation or acronyms, make sure if is official one that is known by everybody.

(iii) Use Dictionary : Please use dictionary to write and check those words you are contemplating on that is having different meaning. Please, do use those words you are sure of and avoid the use of ambiguous words.

  • Punctuation Mistake: Many people make mistake when writing a formal letter as they use exclamations. In an official letter, please avoid the use of exclamatory marks because there is nothing that amaze you,. Okay? Please do not that you should always add full stop at the end of a complete sentence. Avoid comma splices - this is the use of comma to between two complete sentence for example, I really do love to work with this company, I have degree in English at Harbpoug  University . From that example, you will find two complete sentence which is separated by comma but full stops. You understand?
  • Grammatical Error : Grammatical error is very common in formal letters.Use of tense - This is the use of past tense where there should be present tense. Note that what has happened in the past should be denoted in past tense. For example in cover letter, I attend Iganmode School that is supposed to be I attended Iganmode School.
  • Personal Information : This needs to be taken care of in every formal letter as you will need to get replied but when you have added the wrong personal information like your resident address, you will not get reply.
  • Format : Make sure that the letter is of the same format as every reader is always cautious of. If you are using a font make sure it is the same font through out the letter. This occur in some areas where you copy and paste some part and note that it will still be in the font of where you copied from. Make sure you have a consistent format.
  • Ask a friend : You can ask a friend to proof read for you because you may not see some errors and he or she may find but do not give a friend that is not good at English or the language you want to write about.
